MTS retains personal information only for as long as necessary for the purpose it was collected, subject to contractual, legal, security, and operational requirements. This page explains how that works today, including where a setting exists but is not yet backed by automated enforcement, so a clinic evaluating MTS has an accurate picture rather than a template answer.
1. Our Approach
Retention is not one number. It depends on the type of information, the purpose it serves, a clinic's own instructions, and legal or contractual requirements. Where a specific period has not yet been finalized and verified against our actual implementation, this page marks it [RETENTION PERIOD TO BE CONFIRMED] rather than presenting an invented number as policy.
2. The Configurable Retention Setting
The MTS dashboard's Settings screen includes a data-retention field a clinic can set, in days. As of this policy's last update, that field is configurable but is not yet connected to an automated deletion or anonymization process, changing it does not currently cause information to be removed on a schedule. We are building the enforcement workflow that will act on this setting; until it ships and is verified, treat the field as a preference we are recording for when enforcement is live, not as an enforced retention guarantee.
3. Categories of Information
- Account information: retained while a clinic's account is active. [RETENTION PERIOD TO BE CONFIRMED] after account closure.
- Contact and enquiry information: from this website's booking flow or a direct enquiry. [RETENTION PERIOD TO BE CONFIRMED].
- Clinic configuration: business details and automation settings a clinic enters in the dashboard, retained while the account is active.
- Patient-related information processed for a clinic: leads, appointments, and CRM-pipeline records. A clinic's CRM is the source of truth for these, MTS may also hold related information in MTS-controlled systems as described in the Privacy Policy. [RETENTION PERIOD TO BE CONFIRMED].
- Conversations and AI conversation history: call transcripts, SMS, and chat content handled by an AI agent. [RETENTION PERIOD TO BE CONFIRMED].
- Appointment information: bookings, reschedules, and reminder history. [RETENTION PERIOD TO BE CONFIRMED].
- Analytics: dashboard usage and product-activity data. [RETENTION PERIOD TO BE CONFIRMED].
- Application and security logs: our workflow-automation platform (n8n) records the inputs and outputs of every automation run, which can include names, phone numbers, and conversation content, in its execution history. No automated pruning is currently configured on this data. Closing this gap is an open item, we will update this section once a retention window is set and verified.
- Uploaded documents and knowledge-base information: content a clinic uploads to power its AI agents. [RETENTION PERIOD TO BE CONFIRMED].
- Support communications: retained as needed to resolve and document a support request. [RETENTION PERIOD TO BE CONFIRMED].
- Backups: managed by our infrastructure providers' standard backup capabilities. Backup retention is not separately defined by MTS today, see the Security Overview.
4. Third-Party Provider Retention
Some information is processed by third-party providers whose retention MTS does not control:
- Retell (voice AI): retains its own copy of call recordings and transcripts under Retell's own retention policy.
- Gemini and OpenRouter (AI language processing): process conversation context to generate responses; their own logging and retention terms govern what happens on their side.
- Twilio (SMS, where enabled): retains message content and delivery metadata per its own terms.
- Gmail / Google Workspace, where used: sent messages remain in the connected mailbox per that account's own settings.
5. Deletion and Account Termination
Where deletion functionality is available, MTS will delete or remove information from applicable MTS-controlled systems in accordance with the relevant deletion process. Information maintained by connected third-party services, clinic systems, backups, or security records may be subject to separate retention and deletion requirements, and may not be removed at the same time. Deletion is not a single action across every system, it differs by where the information actually lives.
6. Changes to This Policy
As enforcement is built and specific retention periods are confirmed, this page will be updated to replace [RETENTION PERIOD TO BE CONFIRMED] markers with the real, verified numbers, and the “Last updated” date above will reflect the change.
